Fire and Emergency Evacuation Policy V4

Well‐being/Mana Atua: Tamariki/children experience an environment where they are kept safe from harm.  

Our Aim:

At Windsor Montessori, we will ensure that we comply with all relevant Fire Safety legislation to ensure the safety, health and welfare of all tamariki, kaiako and parents/whānau/caregivers. 

 

Windsor Montessori will: 

  • Provide a safe environment for all tamariki, kaiako, parents/whānau/caregivers and visitors by having a plan to manage emergency situations in a way that reduces risk to those on the premises.  

  • Ensure effective procedures are in place to manage any emergency incidents at the preschool.

  • Ensure an appropriate response during and following emergency incidents to meet the needs of the tamariki, kaiako, parents/whānau/caregivers and visitors at our preschool.

 

Roles/Responsibilities:

Head Kaiako/Person Responsible will:

  • Train kaiako and tamariki about emergency and traumatic event response procedures.

  • Ensure kaiako revisit emergency response procedures to ensure they are familiar with them.

  • Ensure Earthquake, Fire, Shelter in Place and Lockdown drills are held once a term. The date and time will be recorded by the Head Kaiako on the appropriate form.

  • The Emergency Management Plan and procedures will be reviewed yearly.

  • Inform whānau/caregivers of the procedures for care and collection of tamariki in the event of an emergency when their tamaiti is enrolled at the preschool.

  • Ensure that all visitors to the preschool sign the Visitors Book.

  • Ensure that the sign-in sheet for all tamariki is completed each day.

  • Ensure that all Emergency Procedure Notices are displayed.

  • Take responsibility for the annual servicing of all emergency equipment.

  • Complete the Fire Emergency NZ Evacuation Report following a completed evacuation drill.

  • Keep the Emergency Contact List up to date.

  • Ensure all kaiako have up to date First Aid Certificates.

  • Ensure the First Aid Kit is kept updated and stocked by checking regularly (at least once a term).

  • Ensure the Emergency Supply kit is checked regularly (once a term).

 

Fire and Emergency Staff Training

All kaiako are to:

  • Attend staff training sessions twice yearly to ensure everyone knows their responsibilities roles in an emergency situation. This will include taking part in a Staff emergency questionnaire and signing a Staff Health and Safety Attestation Form.

  • Regularly and actively review the Emergency Management Plan and Evacuation procedures to determine whether it adequately addresses a range of potential emergency situations. Suggestions/improvements will be documented.

  • Seek feedback from everyone affected by the policy regarding its effectiveness, particularly following a trial evacuation or an emergency.

  • Discuss evacuation of any tamariki who may need extra assistance.

  • Review Fire, Earthquake and Lockdown drills regularly and using feedback to inform our annual review of the Emergency Plan.

  • Check First Aid/Emergency Supplies are stocked and stored in the correct place.

Fire and Emergency Evacuation Procedure

 

  1. The first person to observe the fire will inform all Kaiako and proceed to activate the alarm. 

  2. They will then direct everyone in the building to evacuate to the main assembly point at the front of the property (see site plan below). All kaiako are to take responsibility for tamariki 

  3. The Head Kaiako/Person Responsible will be the last to leave the building taking the phone, parent contact list, sign in sheet (including the Visitor’s Sign-In book), Emergency Kit and Emergency Folder.

  4. The Head Kaiako/Person Responsible will ensure that all areas have been thoroughly checked and the Fire Service has been contacted.

  5. The Head Kaiako/Person Responsible will check off the roll ensuring all tamariki, kaiako, and visitors are accounted for.

  6. Depending on the emergency, the Head Kaiako/Person Responsible will decide whether to evacuate the property. (This could either be outside the property OR as directed by emergency services)

  7. The Head Kaiako/Person Responsible will communicate with the Fire Service on site.

  8. Parents/whānau/caregivers will be contacted via text message/phone (if needed).

  9. When the ‘All Clear’ is given by the Fire Service, tamariki and kaiako may proceed back into the preschool.
